How Multilingual Conversational AI Is Improving Order Support for a D2C Retailer

The Story

A fast-growing US direct-to-consumer apparel brand selling across the US, Canada, and Latin America wanted every shopper to get quick help with orders in their own language. As international sales grew, a small English-first support team was answering order tracking, sizing exchange, and return questions in English, Spanish, French, and Portuguese, often through translation tools and long email threads.

InnovationM helped address this challenge through conversational AI development services. As a software development company with AI engineering depth, InnovationM built a multilingual order support assistant for the brand's website, WhatsApp, and Instagram channels. It connects to the store, shipping, and returns systems and resolves common order requests in the shopper's language.

The Challenge

Most support contacts were about existing orders: where a parcel was, how to change a size, how to start a return, or when a refund would arrive. Volume spiked sharply after promotions and seasonal launches.

The existing approach made it difficult to:

  • Answer "where is my order?" requests instantly during sale periods.
  • Support non-English shoppers with the same speed and accuracy as English speakers.
  • Turn mixed carrier tracking updates into one clear answer for shoppers.
  • Apply return and exchange policies consistently across countries.
  • Keep answers consistent across web chat, email, and social messaging.
  • Free support agents for fit advice, damaged items, and complaints.

From a technical perspective, order data sat in the ecommerce platform, tracking events came from several carriers in different formats, and returns ran through a separate returns management tool. Policies varied by country, and product names and sizes had regional variants. A translation-only bot risked giving shoppers confident answers that did not match the actual order record.

The Solution

InnovationM developed a single conversational AI assistant that detects the shopper's language, identifies the order, and reads live data from the commerce, carrier, and returns systems. It then completes the request or hands it to an agent with the full context. The solution included:

  • Native multilingual responses: Using an LLM-based natural language processing layer that handles English, Spanish, French, and Portuguese and replies in the shopper's language rather than translating fixed scripts.
  • Order lookup & verification: Identifying orders by order number and email or phone, with a magic-link check before addresses or payment details are shown.
  • Unified tracking view: Normalizing carrier events into one plain status with estimated delivery, plus delay explanations when a shipment stalls.
  • Self-service returns & exchanges: Checking eligibility against country-specific policies, offering size exchanges from live inventory, and generating return labels inside the chat.
  • Policy-grounded answers: Retrieving approved shipping, returns, and sizing content in each language so policy answers stay accurate and current.
  • Omnichannel deployment: Running the same AI chatbot on web chat, WhatsApp, and Instagram, connected to the help desk so agents see every conversation in one place.
  • Agent handoff & analytics: Escalating damaged goods, fraud signals, and complaints, with dashboards on intents, languages, containment, and satisfaction.

The key focus was not simply translating an AI chatbot, but creating accurate, order-specific help in every shopper's own language from the first message.

The Impact

The implementation helped the retailer move from an English-first email queue toward an always-on assistant that resolves routine requests in four languages. When a person is needed, agents start with full context. The solution supported:

  • Faster first responses during promotions and seasonal peaks.
  • Order tracking and return requests resolved without an agent.
  • Fewer escalations caused by language barriers.
  • More exchanges kept as exchanges rather than refunds.
  • Consistent policy answers across every country and channel.
  • A foundation for scaling support into new markets and languages.

By bringing together multilingual LLM understanding, commerce and carrier AI integration, governed policy content, and omnichannel delivery, InnovationM showed how conversational AI development services can help an ecommerce brand grow internationally without growing its support backlog at the same pace.

The challenge was not simply making the assistant speak four languages. It was making sure a shopper in Mexico City or Montreal gets the same accurate answer about their own order as a shopper in Chicago. By combining live order data, policy-grounded answers, and the channels shoppers already use, our team built an assistant that supports international growth.
